Privacy Policy for Schools
Effective Date: June 28, 2025
Provided by Moonslide Inc.
This Privacy Policy explains how Moonslide Inc. ("we," "us," or "our") collects, uses, holds, discloses, and protects personal information in connection with the WordFlow service and website at wordflowapp.org (the "Service"). We make this policy freely available before you decide to subscribe to or use the Service. WordFlow is an educational service intended for use by schools, educators, students in grades 4–12, and adult learners, and we are committed to protecting the privacy of children and students.
1. The Kinds of Personal Information We Collect
Depending on how the Service is used, we may collect and hold the following kinds of personal information:
  • Account Information: Name, email address, username, password, role (e.g., student, teacher, administrator), and the school or organization associated with the account.
  • Learning Data: Reading lists, vocabulary progress, lesson activity, scores, and other information generated as a learner uses the Service.
  • Usage and Device Data: Log data, device and browser type, and analytics about how the Service is used, collected to operate and improve the Service.
We collect only the information reasonably necessary to provide the Service. We do not knowingly collect more personal information from children than is needed for the educational purpose for which it is provided.
2. How We Collect and Hold Personal Information
We collect personal information directly from users when accounts are created and when the Service is used; from the school or organization that subscribes to the Service on behalf of its users; and automatically through use of the Service. Personal information is held in access-controlled, encrypted cloud storage provided by reputable infrastructure providers. We protect information in transit using TLS encryption and at rest using strong encryption, and we restrict access to authorized personnel on a need-to-know basis.
3. Purposes for Which We Collect, Use, and Disclose Information
We collect, hold, use, and disclose personal information for the following purposes:
  • To provide, maintain, and deliver the educational features of the Service, including its predictive vocabulary instruction.
  • To create and manage accounts and provide customer support.
  • To improve the Service, including its educational effectiveness, security, and reliability.
  • To communicate important service information, such as notifications of service changes, security matters, and subscription renewals.
We do not sell personal information. We do not use student personal information to serve targeted advertising. Student data is used only to provide the educational service to the school and its users.
4. When We Disclose Information to Third Parties
We do not share user data with third parties except in the following circumstances:
  • Where the individual (or, for a student, the responsible school or parent) has consented to the disclosure.
  • Where the use or disclosure is required or authorized by law or by a court or tribunal order in the applicable jurisdiction.
  • Where the use or disclosure is required or permitted under applicable privacy legislation.
  • Where reasonably necessary for an enforcement-related activity conducted by or on behalf of an enforcement body.
We use service providers (sub-processors) to help operate the Service, such as cloud hosting, storage, and analytics providers. These providers are bound by written agreements that require them to protect personal information under standards at least as strict as those in this policy and to use the information only to provide services to us.
5. Government-Related Identifiers
We do not adopt a government-related identifier of an individual as our own identifier, and we do not use or disclose such identifiers except where required or authorized by law, where necessary to verify identity or to meet an obligation to a government or education authority, or where otherwise permitted by law.
6. How You Can Access and Correct Your Information
You may request access to the personal information we hold about you and ask us to correct it. Requests are handled through our privacy contact below. For student data, requests are generally made through the school or organization acting as the educational agency. We verify the identity and authority of the requester before acting, and we respond within the timeframe required by applicable law and our customer agreements.
7. How You Can Request Deletion of Your Information
You (or the responsible school) may request that we delete personal information relating to a user. Upon a verified request, we securely delete the relevant information, except where we are required to retain it by law or for legitimate operational reasons described in our data retention practices. Backups are retained for a limited period and then securely overwritten.
8. Marketing Communications
Subscription to any commercial mailing list — used for sales, marketing, promotions, competitions, product-related education research, or feedback — is opt-in by choice, and you may unsubscribe at any time. This is separate from essential service messages (such as service-disruption notices, security or breach notifications, upgrade notices, and subscription renewals), which we may send to all users.
9. Overseas Disclosure
We store and process all personal information on infrastructure located within the United States. We do not transfer student or personal data outside the United States. Our sub-processors that handle this data also store and process it within the United States. If this ever changes, we will update this policy and notify affected customers in advance.
10. How to Make a Complaint
If you believe we have breached your privacy, you may contact us using the details below. We will acknowledge your complaint, investigate it, and respond to you within a reasonable period. If you are not satisfied with our response, you may escalate the matter to the relevant data-protection or privacy authority in your jurisdiction.
11. Children's and Students' Privacy
The Service is designed for educational use and is used by students, including children under 13. We handle children's and students' personal information in accordance with applicable laws, including COPPA and FERPA in the United States. We collect such information only for educational purposes, do not sell it, do not use it for targeted advertising, and provide schools and parents with the ability to access, correct, and delete it as described above.
12. Changes to This Privacy Policy
We review this policy at least annually and may update it from time to time. Where changes are material, we will take reasonable steps to notify affected customers. The current version is always available on our website.
